Programs

Programs are the most important element for how WebXam is administered.  Programs define the permissions users have, the tests they can take, and drive all administrative processes in WebXam, except Reporting.

Programs are initially defined based on CTE-26 application data provided by the Ohio Department of Education (ODE). The following information is used from the CTE-26 application:

  • Location of the program (District).
  • Funding source/operator of the program (District, JVSD, School).
  • Pathway associated with the program.

All other information is provided by administrators, including District Testing Coordinators, including:

  • Name of the program
  • Subject codes in the program (including any customized names of the Subject Codes)
  • Administrators (including any restrictions required)
  • Teachers (including any restrictions required)
  • Students and whether the program can include Adult Students
  • Assessors, if the program includes a subject code that requires them.
  • Active/Inactive: Programs that are either not currently in use or that do not require WebXam assessments may be marked as inactive. Inactive programs will not not show in the program list by default and cannot be activated.

Adding Tests to Programs

Administrators, including DTCs may add or remove tests from Programs at any time so that teachers can activate those tests, to do so:

  1. Select the Programs navigation item in WebXam
  2. Find the program you want to edit and select green plus next to it
  3. Select the Edit button
  4. Add the test(s) to the list labelled Tests
  5. Select “Save Changes” to save your changes

Restrictions

Teachers and administrators can have restrictions applied to their accounts (if the administrator is also a DTC, the restriction will be overridden by that assignment):

  • Read-Only: Users with this restriction can view users and reports based on the program but cannot edit user accounts and cannot activate test sessions.
  • Activate Only: Users with this restriction can only activate tests in the specified program, they cannot view reporting or student details.

Restrictions are Program-specific, a user may have restrictions applied in one program but not in another, where there is a conflict, the less-restrictive setting is used.

Customize Tests

Administrators may customize test names to simplify the activation process.  When a customized test name is supplied, users activating a test session in the program will see the customized name along with the Subject Code and Subject Name, in parentheses.

Copy Programs

If your school or Career Center offers more the one program at a location in the same pathway,, use the “Copy Program” feature to make a new program in the same pathway based on existing one. You’ll find the “Copy Program” option, where available, Under the “Programs” menu item after selecting the green plus next to the program you wish to copy. This option is only available to District Testing Coordinators (DTCs).
