Students may be uploaded in WebXam by using the Roster Upload Template. Students who do not currently have an account in WebXam will have accounts created for them. Students that do have accounts will have their information, including grade level, updated. Students in the upload are matched with students in WebXam based solely on the SSID in the first column.
WebXam Roster Uploads can be fully self-service and are processed in real-time while you wait after selecting the “Process Upload” button. If you encounter issues during the upload process or have any questions, please contact us using the support form in WebXam or by email: support@webxam.org. Please do not send roster information over email.
A few notes about how the files are processed:
- Only rows with a valid-looking SSID in the first column will be processed. All other rows will be ignored
- Only the first sheet in an Excel Workbook uploaded to WebXam will be processed
- A student may appear multiple times in a file or in multiple files if they are enrolled in multiple programs
How to upload a student roster
- In WebXam, go to “Secondary Students” > “Upload”. This link is only available when uploads are open. They are typically open from early August through the school year.
- Download the template by selecting the “Get the (School Year) roster upload template and definition” button.
- Complete the template with information from your SIS or grade book.
- Select the “Browse” button on the “Secondary Students” > “Upload” page and select the file you completed.
- Select the “Upload” button.
- If there are any errors, please correct them in the file and then upload the file again.
- Please note any warnings and information messages and make corrections as needed.
- If you are unsure how to correct an issue, please use the “Send the file to WebXam Support” button to request help.
- If there are no errors and you are ready to complete the process, select “Process Upload.” A progress bar will be displayed.
- Once the upload is finished, you will see a report which you may copy for your records. All successful upload reports will also be available in “Secondary Students” > “Upload History.”
